Prophets of AI is a speakers bureau. We connect organisations with speakers on artificial intelligence and related subjects. This policy explains what personal information we collect, why we collect it, and what we do with it.

Who this policy covers

This policy covers three groups of people.

Visitors to prophetsofai.com. Anyone who browses the site or submits an enquiry through it.

Event organisers and buyers. People and organisations who contact us, or whom we contact, about booking a speaker.

Speakers. People represented by Prophets of AI, or under consideration for representation.

What we collect

Information you give us. When you complete an enquiry form on our website, or email us, we collect your name, your email address, your organisation, and whatever you choose to tell us in your message. If a booking proceeds, we collect the information needed to arrange it, which typically includes event dates, venue details, and billing contact details.

Information we collect about you from public sources. We are a bureau, so part of our work is identifying organisations that book speakers and contacting them. Where we do this, we use business contact details that the organisation itself publishes, for example an events address on its own website. We do not buy contact lists and we do not use scraped personal data.

Information about speakers. For speakers we represent, we hold biographical material, photographs, video, fee information, travel preferences, and the contact details of the speaker or their management. Most of this is provided to us by the speaker so that we can market them.

Information collected automatically. Our website uses Google Analytics 4, which sets cookies and records information such as pages viewed, approximate location derived from IP address, referring site, and device and browser type. This is used to understand how the site is used. Our site sits behind a security service which also processes request data in order to filter malicious traffic.

We do not collect payment card details through our website.

Why we use it

We use personal information to respond to enquiries, to propose speakers, to arrange and administer bookings, to invoice and be paid, to contact organisations about speakers who may suit their events, to maintain our records of who we have spoken to and about what, and to understand how our website is used.

If you are in the United Kingdom or the European Economic Area, our lawful bases are performance of a contract, where we are arranging or delivering a booking; legitimate interests, where we are marketing our speakers to organisations that book speakers, and where we keep records of our business dealings; and consent, where you have given it, for example for non essential cookies.

Who we share it with

We share personal information only where it is needed to do the work.

With speakers and their management, when we put an enquiry or an offer to them. If you enquire about a speaker, we will normally need to tell that speaker who is asking and what for.

With event organisers, when we submit a speaker for consideration.

With the service providers who run our systems. These currently include Google, for email and analytics; Airtable, where we keep our records of contacts and bookings; Tally, which powers our website enquiry form; and our website host and security provider. Each of these processes data on our behalf.

Where the law requires it, or where we need to establish, exercise or defend a legal claim.

We do not sell personal information, and we do not share it with advertisers.

Some of these providers are based in the United States. If you are in the United Kingdom or the European Economic Area, your information may be transferred there.

How long we keep it

We keep enquiry correspondence and booking records for as long as we have a live relationship with you, and afterwards for as long as we may need them for tax, accounting or legal reasons. We keep speaker material for as long as we represent the speaker, and remove it when representation ends.

If you ask us to stop contacting you, we keep a minimal record of that request so that we do not contact you again by mistake.

Your choices

You can ask us to stop emailing you at any time. Every outreach email we send carries a way to opt out, and you can also email contact@prophetsofai.com and we will action it.

Depending on where you live, you may have the right to ask us for a copy of the personal information we hold about you, to have it corrected, to have it deleted, to object to how we use it, or to ask us to restrict how we use it. If you are a California resident, you have rights under the California Consumer Privacy Act, including the right to know what we collect and the right to request deletion. We do not sell or share personal information as those terms are defined under that Act.

To exercise any of these, email contact@prophetsofai.com. We will not treat you differently for asking.

Cookies

Our website uses cookies to run the site securely and to understand how it is used. You can control cookies through your browser settings.

Children

Our website and services are for business use and are not directed at children. We do not knowingly collect personal information from anyone under 16.

Changes

If we change this policy we will update the date at the top. Where a change is significant, we will say so on the website.
